Let Lead Hero call each lead from a number near them, and keep an eye on how much calling capacity that leaves you.
Who can do this: owners and managers. Only they can open organization Settings. Reps can see the Daily Usage column but cannot change any of this.
What local presence does
When you call a US or Canadian lead, Lead Hero looks for a number of yours that is close to them and calls from that. People answer a local number more often than an unfamiliar one.
If nothing in your pool is close enough, Lead Hero buys a nearby number and uses that. Each automatic purchase adds a phone number to your bill, so treat this as a spending decision, not just a setting.
Local presence cannot guarantee an exact area code match, and it does not guarantee a pickup.
Turn on local presence
Open organization Settings.
Go to General and find the Local presence card.
Turn on Get the closest number.
Set the Automatic Buy Radius.
1 is Get the closest number. 2 is the Automatic Buy Radius, showing its current value. The radius is greyed out until the checkbox above it is on.
The radius is how far away a number can be and still count as close enough. It runs from 0 to 200 miles in 50-mile steps and starts at 150.
A smaller radius means Lead Hero buys more often, because fewer of your existing numbers qualify. A larger radius buys less often but matches the lead's area less closely. The info icon beside the field says the same thing.
Two limits sit above this. Maximum Numbers, on the same Settings page, caps how many numbers your organization can hold, and automatic buying stops there. And the radius slider will not go past 200 miles, so there is no setting for "anywhere in the country".
Watch your capacity
Each number can only make so many calls per day. Once it hits that, Lead Hero rests it and stops calling from it, which quietly shrinks the pool your reps are dialing out of.
Open Phone Numbers.
Read the Daily Usage column for each active number.
Daily Usage shows calls made today against the daily limit, with the number remaining. A number that has hit the limit reads Usage limit reached instead of a count.
The daily limit is set per deployment rather than per account, so read the figure after the slash in the column rather than assuming a number. A cell showing - or No limit means no cap is configured.
You do not need to stop using a number yourself. Lead Hero puts it on cooldown when it hits the limit, and the cooldown clears at midnight. Cooldowns for other reasons, such as spam flags or poor pickup rates, work differently and are covered in Manage number health and spam flags.
Narrow which numbers you call from
Each rep can restrict which of your numbers they call from, using Numbers to call from in the call module. It accepts countries, states, cities, and area codes.
This interacts with local presence in a way that catches people out. A rep who has narrowed the picker to one region can see:
No eligible caller number is available right now. Buy more phone numbers to keep calling.
even while the organization has plenty of healthy numbers. The pool is fine; their filter is too tight. Widening the picker fixes it, and no admin change is needed.
What local presence does not change
Local presence changes the number recipients see. It does not change your obligations around consent, DNC, licensing, or disclosure. Follow the rules that apply to your organization and the people you call.
When to contact support
Get in touch if:
No eligible number is available even with a wide picker and healthy numbers.
Local presence picks a region nowhere near the lead.
Daily Usage does not match the calling your team actually did.
