Manage number health and spam flags

Monitor number health, enable available protection controls, and replace a number when its current status requires action.

Check the Health of your numbers, turn on the protections that keep them clean, and replace a number once carriers have flagged it.

Who can do this: owners and managers. Reps can see the Health column but cannot swap a number or change its Number Guard setting, so ask an owner or manager if a number needs replacing.

Review number health

  1. Open Phone Numbers.

  2. Find the number you want to check.

  3. Read its Health badge, Daily Usage, Cooldown, Workspaces, and Number Guard state.

Health shows the spam badge and the pickup rate over the last 50 calls. 1 is flagged as Spam. 2 is Likely Spam and is on a cooldown for the next 144 hours.

What each badge means

Badge

Meaning

Healthy

No spam label, and pickups are in a normal range.

Low Pickups

Fewer than 15% of recent calls were answered, and red below 5%. Often the first sign a number is going bad.

Likely Spam

Some spam checks have flagged it. Lead Hero rests the number for 7 days and keeps watching it.

Spam

Enough spam checks agree that the number is burned. Replace it.

The Cooldown column tells you why a number is resting: Usage limit reached (daily cap hit, clears at midnight), Bad pickups (3 days), or a spam cooldown (7 days). Lead Hero will not call from a number while it is resting.

Turn on protection

Number Guard checks your numbers against the major spam databases and flags them before your pickup rate collapses.

When some numbers are unprotected, the banner offers Enable Guard for all.

Numbers with Number Guard switched off are never scanned. Their Health badge only ever reflects pickup rate, so a quiet number can look Healthy while carriers already treat it as spam. Scans run on weekday mornings, not continuously.

To replace flagged numbers automatically, turn on Auto-swap spam numbers in Settings > General.

Auto-swap replaces a number as soon as it is flagged as Spam. The replacement keeps the same workspace access, so your team carries on calling. Numbers marked Likely Spam are left alone.

What this does not do

Monitoring and swapping lower the risk of a number being labelled, but they cannot prevent it. Carrier spam labelling is driven mostly by call volume and complaint rate, so a fresh number burns just as fast behind the same calling pattern.

When to contact support

Get in touch if:

  • A number you believe is healthy is repeatedly reported as spam.

  • A swap fails, or the replacement never appears.

  • The Health state does not update after a scan should have run.

Include the phone number, the organization, and roughly when you first saw the flag.
