Group leads into folders, save filter sets as smart folders, update statuses in bulk, and choose which columns the table shows.
Create a lead folder
Open Leads.
Select Add folder. The Create folder dialog opens.
Enter a Folder name.
If you are an owner or manager, set the folder's Workspace and who can see it: Everyone in workspace, Managers & owners only, or Specific users.
Add folder sits in the Lead folders toolbar. Warm is reserved: it is created for you, it cannot be renamed or deleted, and warm-calling integrations deliver into it.
A folder assigned to a workspace is invisible to members of other workspaces. That is the usual reason a colleague cannot find a folder you can see.
Use smart folders
A smart folder saves a set of filters and re-runs them each time you open it, so it always reflects the current leads rather than a snapshot.
Available filters are Name, Search, Status, Lead age, Assigned to, In folders, and Filter by workspace. If GoHighLevel is connected, GHL tags filters appear too.
Update statuses in bulk
Select the leads using the checkboxes in the table.
Choose Change statuses in the bulk action bar.
Pick the status, then select Apply Status.
The bulk action bar only appears once at least one row is selected, which is why Change statuses is not visible on an untouched table.
Some statuses behave differently.
Phone Missing is applied by the dialer when a lead has no usable number. You can also set it by hand.
Callback Scheduled cannot be applied straight from the dropdown. Selecting it opens the callback date picker instead, because the status needs a date to mean anything.
Automatic Callback Scheduled cannot be chosen at all. It is applied after a missed callback, and selecting it returns: "This status is set automatically after a missed callback and cannot be chosen manually."
DNC means do not call. Use it when someone has asked not to be contacted again.
Once a lead is marked DNC, Lead Hero stops calling them. They are skipped by redials and by automatic rescheduling, and DNC cannot even be selected in the redial dialog, so nobody on your team can pull those leads back into a calling session by accident.
To create or edit a custom status, an owner or admin opens Settings > Leads.
Configure columns
Select Columns to open Configure Columns, then drag fields between Available Columns and Visible Columns.

The available list includes standard lead fields, your organization's custom fields, and fields synced from connected integrations.
When to contact support
A folder does not appear for someone who should have access, and it is not workspace scoping.
A smart folder returns leads that do not match its filters.
A status or column you saved is still missing after a page refresh.
